Office design starts with how people work

We start office design in Batumi with questions about how the working day goes. Who comes in every day and who comes once a week. Who spends half the day on the phone, who needs quiet, whether clients visit and where you talk to them. A sales team and the accounts department in one room disturb each other more than the plan suggests.

The answers decide the format. An open-plan space is cheaper to renovate and more flexible, while private offices are quieter but eat up floor area with walls and corridors. When half the team works from home on a rota, assigned desks can give way to shared ones, and the freed-up metres can go to meeting rooms and places for calls. The general procedure for working with the landlord and the timelines for any premises are described on the page about commercial interior design.

Zoning: clients, noisy and quiet areas

A client shouldn't have to walk to the meeting room through the workspace, past other people's screens. We put reception and the client meeting room near the entrance and the workstations further in. The kitchen and the printer go away from those who need quiet: people always chat at the coffee machine.

We divide the open-plan space by noise level. Those who talk and move around a lot sit closer to the entrance and the kitchen, and those who work with documents at the far end. Between the zones we put cupboards, shelving or a row of phone booths: they divide the space without solid walls and don't block the daylight.

Phone booths and meeting rooms for two or three people are needed in almost any office with a lot of calls. Without them people go out to the stairwell to talk, or two of them take over the large meeting room for an hour.

Acoustics on the drawing

A room with a concrete ceiling, glass partitions and tiles on the floor booms like an empty swimming pool. Sound is absorbed by porous surfaces: an acoustic suspended ceiling, wall panels, rugs in breakout areas, upholstered furniture. We plan their area and position in the design along with the finishes, because panels bought after the first complaint cost more and look like a patch.

We don't put a meeting room on the other side of a wall from the kitchen or the toilet. On the drawing we take the walls of private offices up to the slab and check that no air duct shared by two rooms runs over them: a conversation carries through it into the next room. How these partitions are built and how the doors are sealed is described on the page about office renovation.

Light and windows: screens, faces, sun

We set the rows of desks at right angles to the windows, so that daylight falls from the side and doesn't cause glare on monitors. General lighting is diffused, and in the meeting room we add fittings that light faces from the front: under a single overhead light a person on a video call looks tired.

If private offices line the windows, the open-plan space behind them is left without daylight. So we try to keep open workstations by the windows and group private offices and meeting rooms deeper in, along the wall without windows. An office that does end up by a window gets a glass partition in an aluminium frame on the side facing the open-plan space, so that the light carries further. Illuminance calculations by zone and switching scenes are part of lighting design, which can be added to the project.

Brand identity and reception

We concentrate the brand colours and materials at the entrance and in the client area: the wall behind the desk, the desk itself, the light above it. In the workspace the brand colour stays an accent on a few surfaces. Eight hours a day among bright orange walls is tiring, and staff notice it before clients do.

We draw the wall that appears in the frame of a video call from the meeting room separately: calm finishes, one brand element without a fine pattern, light without hot spots. For a company that talks to its clients by video, this wall works as a second reception.

Sockets, network points and the ceiling plan

We draw the sockets and network points after the furniture is placed, tying each outlet to a desk. For islands of desks in the middle of the room we provide floor boxes or a feed from above, and give the server cabinet a recess or a room with ventilation and its own circuit. We hand the plan to the electrician and your IT specialist as one sheet, so that both work from the same version.

On the ceiling plan we mark the light fittings, cassette air conditioning units, ventilation grilles, Wi-Fi access points and access hatches. A coordinated plan is needed so that a light fitting doesn't land where a grille should go, and so that the hatch and the air conditioning unit can be reached with a stepladder without moving any desks.

How much office design costs in Batumi

An office design project costs from 89 to 130 ₾ per m². The price covers the layout of workstations and meeting rooms, brand identity, lighting by zone, 3D and working drawings with a plan of sockets and network points. This is the designer's work; the office renovation is priced separately and costs from 660 ₾ per m² with materials.

For small offices there is a minimum project fee of 3,600 ₾. An extra 3D view costs from 210 ₾, lighting design with illuminance calculations and selection of light fittings from 20 ₾ per m², and designer supervision from 1,290 ₾ a month. Allow for glass partitions in the renovation budget: a framed partition with installation costs from 830 ₾ per m².

Private offices instead of an open-plan space, made-to-measure furniture and a business centre's requirements for the drawing package all push the project price up. We give a preliminary price from the floor plan, and the final cost is set after the measured survey, once the project scope is agreed.

Stages and timelines

  1. Brief and measured survey

    2–4 days

We note how many people there are now and will be in a year or two, the working hours and who receives clients, and measure the premises.

  2. Zoning and workstations

    1–2 weeks

We divide the office into client, work and quiet areas, and place the desks and meeting rooms in two or three options.

  3. Concept in the brand style

    1–2 weeks

We translate the brand's colours and materials into the reception finishes and the accents in the open-plan space, and agree the mood board.

  4. 3D of the key areas

    1–2 weeks

We show reception, the meeting room and the open-plan space with materials from the materials list, and make changes within the revision rounds set in the contract.

  5. Drawings and service plans

    2–3 weeks

We issue the partitions, lighting, sockets and network points, ceilings and wall elevations, and check the network plan with your IT specialist.

  6. Materials list and handover

    3–5 days

We compile the schedule of finishes and furniture, price the renovation estimate from it and hand the sheets over to the contractor.

Local specifics in Batumi

The sea in Batumi lies to the west, and an office with a sea view gets low afternoon sun straight into its monitors. We put meeting rooms, the kitchen and the breakout area, where people don't sit for long, on the west side, and place permanent workstations by north- and east-facing windows. We draw recesses for roller blinds into the ceiling from the start, so that a blind box doesn't hang over the window.

From June to September the office air conditioners run all day, and whoever has a desk under a unit sits in a cold draught all summer. So on the ceiling plan we put cassette units and grilles over the walkways, not over the desks, and check where each side of the unit blows.

Batumi has many teams that work with clients and colleagues in other countries, and their calls run from morning to late evening. In an office like this we plan more phone booths, and design the lighting in them and in the meeting room for the hours of darkness, when the window no longer helps.

Materials and brands

In the materials list we describe the acoustics by location: over the open-plan space an AK Bulut suspended ceiling with moisture-resistant acoustic tiles, and in meeting rooms and around the phone booths polyester fibre wall panels. These panels don't absorb moisture, and we match their colour to the brand palette.

Partitions are drawn on Knauf studs and boards, and the glass walls of private offices on Asistal aluminium profiles. Sockets and floor boxes come from a single ABB, Schneider Electric or Legrand range, so that the outlet by a moved desk looks like the rest. Wall colours are given as Caparol tint codes. The air conditioner models are chosen by the engineer, while we allow for the dimensions of cassette and ducted units in the ceiling plan in advance.

Guarantees

Drawing errors are corrected as set out in the contract.

The number of revision rounds at each stage is fixed before work starts. If during the renovation it turns out that a desk doesn't line up with its floor box or a cassette unit runs into a beam, the designer corrects the sheet, and the electrician works from the corrected plan. If we carry out the renovation, the work has a 2-year warranty, and the wiring we lay in walls and floors has 5 years.

Questions and answers

How much does office design cost in Batumi?

An office design project costs from 89 to 130 ₾ per m². This price covers zoning, workstations and meeting rooms, brand identity, lighting by zone, 3D and drawings with a plan of sockets and network points. For small offices there is a minimum project fee of 3,600 ₾: a 30 m² office is priced at that figure rather than by the metre.

The renovation to the design is priced separately. We give a preliminary price for the project from the floor plan and the number of workstations, and the final cost is set after the measured survey, once the project scope is agreed.

How many square metres do you need per employee in an office?

For a first estimate we use a guide from our own practice, not a standard: in an open-plan space a workstation with its walkway takes about 6–8 m², and with meeting rooms, a kitchen, reception and toilets it comes to 10–12 m² per person. An office made up of private rooms needs more because of the walls and corridors.

A furniture layout on the plan gives a more accurate figure. Columns, the depth of the room and the position of the windows sometimes take away several places each, so before signing the lease it makes sense to do a quick layout and count the places from it.

How can I reduce noise in an office without rebuilding it?

Start with things that absorb sound without building work: acoustic panels on the walls, especially on walls facing each other, rugs in breakout areas, upholstered chairs in the meeting room, curtains on glass walls. Under a concrete ceiling, suspended acoustic elements help, and they are fixed without any demolition.

Then move people around: those who are on the phone all day sit closer to the exit, and one or two separate booths go in for calls. If a conversation can still be heard from the meeting room, the sound is escaping through the partition or a shared air duct, and that does need renovation work.

How do you plan an office for a growing team?

We build spare capacity into the layout from the start. Usually it is an area that now holds a small meeting room or a breakout area, where a few more desks will go later. We mark these places on the socket plan too: the electrician runs circuits to them at the rough stage, and until they are needed the outlets sit under blanking plates.

We choose modular furniture from one range, so that new desks line up with the old ones. If the team is going to grow quickly and by a lot, it is more honest to look at larger premises straight away: extra people squeezed into a cramped office take space from the meeting rooms and the quiet.

Where should a server cabinet go in a small office?

A ventilated recess or storeroom with no water pipes next to it or above it will do. The cabinet gets warm and makes noise, so it doesn't belong in a meeting room or by the workstations, and the kitchen is risky because of the water. The recess needs its own electrical circuit, preferably through an uninterruptible power supply (UPS), a way to remove heat, and a lockable door.

We choose the place so that cables can easily be run from the cabinet to every desk, the Wi-Fi access points and the internet connection. On the layout it is a separate element with its own dimensions and ventilation, and we agree it with your IT specialist.
