How we work: stages of renovation and construction in Batumi

We follow the same process for a new-build apartment, a private house and an office. First come the estimate and a contract with the price and timing for each stage, then an advance for materials and the first stage, and after that you pay once you have accepted each stage. Every week we send a photo and video report, and at the end you receive the signed certificates, the handover file and the warranty documents. You can do all of it remotely.

Our stages of renovation and construction in Batumi are the same for an apartment, a house or a commercial space. What changes is the scope of work: in an apartment it is demolition, rough work and finishing, and a house adds the foundations, the shell and the roof. Payments, reports and documents follow the same order, so you know in advance when to pay and what to check.

Stages of renovation and construction, from enquiry to handover

  1. You send photos, a floor plan and a short description of the job through the form on the website or through a messaging app.
  2. Within 24 hours on business days, the manager sends a preliminary estimate and the questions the exact price depends on.
  3. The foreman comes to measure up. They check the walls, floors, ventilation, pipes and wiring, and in a new build also what the developer has delivered under the contract.
  4. We prepare the detailed estimate and a contract with the price and timing of each stage.
  5. You pay the advance for materials and the first stage, and the crew starts on site.
  6. Each stage ends with a sign-off, on site or over video. You make the next payment after you have signed the acceptance certificate.
  7. At the end we sign the completion certificate, return the keys against a signed form and give you the handover file.

The timing of each stage is written into the contract. If a deadline is at risk, for example because a tile or window delivery is late, the manager warns you in advance and suggests options. We do noisy work only in the daytime, which by law runs from 08:00 to 23:00, and if the building has set shorter hours, we keep to those.

What the estimate and the contract include

In the estimate, each job has its own line with a quantity and a unit: square metres of plaster, the number of electrical points, linear metres of skirting board. Materials are listed separately, with the brand and product code if you have already chosen them, or with the requirements if the choice is ours. The estimate shows at a glance what we buy and what you buy yourself.

In older buildings, some work only becomes visible after demolition, such as the condition of the pipes in the walls or the base under old tiles. We flag such items in the estimate in advance as work that may be needed, so they don't come as a surprise.

The contract sets out:

  • The scope of work from the estimate and the list of stages
  • The price and timing of each stage
  • The payment schedule: an advance for materials and the first stage, then payment after you accept each stage
  • How sign-off works and how defects are recorded
  • The warranty: 2 years on the work and 5 years on concealed services
  • How the scope can be changed through a contract addendum

The contract is drawn up in English, Georgian or Russian, your choice. If the scope of work doesn't change, a stage's price doesn't go up.

Payment by stage and stage sign-off

We don't take prepayment for the whole job. The advance covers materials and the first stage, and each further payment is made only after you have accepted a stage.

Sign-off follows a checklist agreed in the contract. For screed it covers flatness and the absence of cracks, for tiling straight joints and a layout that matches the design, and for electrics every point working and labelled circuit breakers in the consumer unit (fuse box). You can accept a stage on site or over video: the foreman goes through the list, shows each item in close-up, and turns on the taps and tests the sockets while you watch.

We record any defects in the certificate with a deadline for fixing them. The stage is closed once they have been put right, and only then do you make the next payment.

Reports and contact while the work is under way

Every week we send a photo and video report: what has been done, what is planned for the next week and which materials have arrived on site. The reports come into the same chat where all project decisions are made, so even months later it is easy to find what was agreed and when.

We photograph concealed work separately before it is closed up: cable runs with their positions measured from the walls, the pressure test of the water pipes, and waterproofing where it runs up the walls. These photos later go into the handover file.

The manager is available by phone and on WhatsApp during working hours. On request we set up a video call with the foreman straight from the site, at a time that suits your time zone.

If the scope of work changes

Plans often change during a renovation: you want more sockets, the kitchen island moved or different tiles. We put every such change into a contract addendum. It lists the new work, its price and how the timing shifts, and you see and sign all of this before the work starts.

Sometimes we are the ones who suggest a change. Demolition can uncover things that were not visible when we measured: a corroded pipe in the wall or old aluminium wiring. The foreman sends photos, we explain the risk of leaving it as it is and price the options. The decision is yours.

There is one exception: if something could cause an emergency, such as a leaking pipe, we shut off the water and deal with the danger first. We discuss the repair after that.

How we work if you are not in Georgia

You can complete the whole project without ever coming to Batumi. For that, we agree four things in advance.

  • A power of attorney is needed if we represent you with the developer, the building's management company or the utility companies. We agree its wording with you and limit it to specific actions.
  • You hand the keys over to us against a signed form: in person, through someone you know in Batumi or through the developer at handover. We return them against a signed form too.
  • You accept stages over video. The foreman goes through the sign-off checklist, and you can ask for a closer look at any spot.
  • The contract, certificates and addenda can be signed remotely. The method of confirmation, such as an electronic signature, is written into the contract.

Property transactions have a separate rule. Since 20 October 2023, if the buyer acts under a power of attorney issued abroad, the transaction can only be registered in notarised form. Our partner lawyer checks the wording of such a power of attorney in advance so that it is accepted the first time.

Accepting the apartment from the developer without you

If the apartment is still with the developer, the foreman can accept it on your behalf under a power of attorney. They will compare the frame condition with the contract, check the walls, screed, windows and utility connection points, and record any unfinished work in the handover certificate before it is signed.

Documents you receive at the end

  • Acceptance certificates for all stages and the completion certificate
  • Contract addenda, if the scope changed
  • The handover file: routing diagrams for the wiring and water pipes, photos of concealed work, a materials list with product codes and the warranty terms
  • Manufacturers' warranty documents for materials and appliances
  • The signed form for the return of the keys

The handover file stays useful after the warranty runs out. From the routing diagrams any tradesman can see where it is safe to drill, and the product codes make it easier to find the same tiles if a section needs replacing a few years later. If the apartment is going to be rented out, it is worth giving the file to the property manager.

The contract, certificates and payment records are proof of what you spent on the renovation. Under the rules for 2026, this matters if you sell the property before you have owned it for 2 years: documented renovation costs reduce the difference between the sale and purchase price on which the tax is calculated.

The full list of documents for every line of work, including property management and deals, is on the page “Documents”.

Questions and answers

Can the renovation price go up after the contract is signed?

The price of a stage in the contract doesn't change as long as the scope of work stays the same. It can go up in two cases: you decide to add or redo something, or demolition uncovers something that was not visible when we measured, such as a corroded pipe in the wall.

In both cases we first show you exactly what changes and what it costs, and draw up a contract addendum. We start that work only after you have signed it, so you know the new amount before the work begins.

How should I pay a renovation contractor: everything up front or by stage?

By stage. Before the work starts, you pay an advance that covers materials and the first stage. After that, each payment follows the sign-off of a stage, when you have checked the work and signed the certificate. We don't take prepayment for the whole job.

The payment schedule is in the contract next to the stages and their timing, so at any point you can see how much has been paid and what is left. If there are defects in a stage, we fix them first, and the payment moves to the date the stage is closed.

Can I get a renovation done in Batumi if I live abroad?

Yes. You hand the keys to us against a signed form, get a photo and video report every week and accept stages over video. You sign the contract and certificates remotely, and the method of confirmation is written into the contract.

A power of attorney is needed only if we act in your name: to accept the apartment from the developer, re-register the utility meters or deal with the building's management company. We agree its wording with you in advance. If you come to Batumi while the work is under way, we can meet on site and you can accept a stage in person.

How long does a renovation estimate take, and how accurate is it?

We send a preliminary estimate from photos and a floor plan within 24 hours on business days. It shows the scope of work and gives a rough idea of the price, but it is based only on what can be seen in the pictures.

We work out the detailed estimate after measuring on site. The foreman checks how level the walls and floor are, the condition of the pipes and wiring, the ventilation and what the developer has delivered under the contract. The more detailed the photos and plan, the smaller the gap between the preliminary and the detailed estimate.

What if I'm not happy with how a stage has been done?

Don't sign the acceptance certificate until your comments have been written down. We record them in the certificate with a deadline for fixing them, and the stage is closed only once they have been put right.

Where there is a disagreement, we check against the sign-off checklist in the contract and against the design: we measure flatness with a straightedge and a spirit level and compare the joints and layout with the drawing. If you accept the stage over video, the foreman will show every item in close-up. You make the next payment only after the stage is closed.
